By booking our services or using our website, you agree to be bound by these Terms and Conditions. If you do not agree to these terms, please do not use our services.
2. Services Provided
Game Land on Wheels provides mobile video game entertainment services, including:
- Mobile gaming truck with multiple gaming stations
- PS5 and Xbox Series X gaming consoles
- Virtual Reality (VR) experiences with Oculus Quest 2
- Professional game coaching and supervision
- Party entertainment for birthdays, events, and special occasions
- Additional rental equipment (cotton candy machine, popcorn machine, snow cone machine)
3. Booking and Payment Terms
3.1 Booking Requirements
- All bookings must be made at least 48 hours in advance
- A valid credit card is required to secure your booking
- Full payment is due at the time of booking
- Peak times and weekends may require longer advance notice
3.2 Payment
- We accept major credit cards processed through Stripe
- All payments are processed securely
- Prices include all equipment and supervision
- Additional services may incur extra charges
4. Cancellation and Refund Policy
4.1 Customer Cancellations
- 48+ hours notice: Full refund minus 10% processing fee
- 24-48 hours notice: 50% refund
- Less than 24 hours: No refund
4.2 Weather-Related Cancellations
- We monitor weather conditions for outdoor events
- If we determine conditions are unsafe, we will reschedule at no charge
- Indoor events are not affected by weather
5. Event Requirements and Restrictions
5.1 Location Requirements
- Level parking space for our 32-foot mobile gaming truck
- Access to standard electrical outlet (110V) within 100 feet
- Safe and legal parking location
- Adult supervision required for events with minors
5.2 Participant Requirements
- Maximum capacity: 15 people inside the truck
- Children under 8 must be supervised by adults
- No food or drinks inside the gaming truck
- Respectful behavior required at all times
6. Safety and Liability
6.1 Safety Measures
- All equipment is regularly inspected and maintained
- Professional game coaches supervise all activities
- Interior cameras provide additional supervision
- Climate-controlled environment for comfort and safety
6.2 Liability Limitations
- Game Land on Wheels carries commercial liability insurance
- Participants engage in activities at their own risk
- We are not responsible for personal injuries outside our control
- Maximum liability is limited to the cost of services provided
7. Code of Conduct
All participants must follow our code of conduct:
- Respectful treatment of equipment and staff
- No bullying, harassment, or inappropriate behavior
- Follow all safety instructions provided by staff
- No vandalism or intentional damage to equipment
- Appropriate language and behavior at all times
8. Equipment and Property
8.1 Equipment Care
- All gaming equipment remains property of Game Land on Wheels
- Participants are responsible for treating equipment with care
- Damages caused by misuse may result in additional charges
- No modifications or tampering with equipment allowed
8.2 Lost or Damaged Items
- Report any damage immediately to our staff
- Accidental damage is typically covered by our insurance
- Intentional damage will result in replacement charges
9. Privacy and Data Protection
- We collect only necessary information for booking and service delivery
- Your information is protected according to our Privacy Policy
- We do not share personal information with third parties without consent
- Interior cameras are for safety purposes only
10. Intellectual Property
- All games and software are legally licensed
- Participants may not copy or distribute any software
- Our branding and marketing materials are protected by copyright
- Photos and videos may be taken for promotional purposes
11. Force Majeure
We are not liable for delays or cancellations due to circumstances beyond our control, including:
- Severe weather conditions
- Natural disasters
- Government restrictions
- Equipment failures beyond normal wear
- Public health emergencies
12. Dispute Resolution
- We encourage direct communication to resolve any issues
- Disputes will be governed by New York state law
- Any legal proceedings must be conducted in Syracuse, NY
- We prefer mediation over litigation when possible
13. Changes to Terms
We reserve the right to update these terms at any time. Changes will be posted on our website with an updated effective date. Continued use of our services after changes constitutes acceptance of new terms.
